Control → Automate → AI → Optimise

Make your business easier to run.

We'll help you get control of how work actually happens in your business, automate what shouldn't be done by hand, use AI where it genuinely helps, and keep improving from there.

Business systems, automation and AI for teams with real operational complexity.

§ 01 · Where it starts

Your business probably doesn't need more software. It needs less friction.

Every business has a few jobs nobody wants to do. Someone has to pull three exports together just to build a report. Approvals wait in an inbox until they get chased. Customer requests get copied by hand from one system to the next, and there's a spreadsheet everyone relies on but no one quite trusts. And there's usually one person who knows how the whole process works, because they've been there forever.

That's where we start. Rather than leading with a new piece of technology or an AI strategy, we look for whatever in your business feels harder than it should be.

§ 02 · How we work

Start with the problem, then use the right tool.

Not every problem needs AI. Some need better visibility, some need a cleaner workflow, some need software, and some genuinely benefit from AI. We use the simplest thing that solves your problem, then build from there.

§ 01 · Controlfeeds Automate →

See what's actually happening.

Work gets messy when your processes live across inboxes, spreadsheets, disconnected systems and people's heads.

So the first job is to make the work visible: what actually happens, who owns each step, where the data sits, what gets stuck, and what needs someone's approval. Once you can see it, you can improve it.

  • One view of the work
  • Clear ownership
  • Connected data
  • Useful reporting
  • Exceptions people can see
  • A baseline to improve from
The questions you get answers to
  • Where is this customer up to?
  • Who approved this?
  • Why did this fail?
  • What's waiting on someone?
  • Which part takes the longest?
§ 02 · Automatefeeds AI →

Take the repetitive work off your people.

If the steps are known and repeatable, they can be automated.

That means moving data between your systems, running the checks, creating the records, triggering the follow-ups, routing approvals, generating the reports and keeping the audit trail, without anyone doing it by hand. Your people stay on the work that actually needs them.

  • Fewer manual hand-offs
  • Less copy and paste
  • Faster processing
  • Fewer mistakes
  • Consistent workflows
  • Clear approvals and audit history
What your team stops doing
  • Entering the same information twice.
  • Building the same report by hand every week.
  • Checking whether someone has replied.
  • Chasing the approval.
  • Moving data from one system to another.
§ 03 · AIfeeds Optimise →

Use AI for the messy parts.

Rules work well until the input stops being predictable.

Emails, documents, conversations, research and judgement calls are where AI starts to earn its place. It can read, classify, compare, research, draft and recommend, and your people stay involved wherever the decision matters.

  • Read and understand documents
  • Triage requests
  • Draft responses
  • Research and compare
  • Summarise complex information
  • Recommend a next action
  • Handle bounded multi-step tasks
What you can ask it to do
  • Read this application.
  • Work out what's missing.
  • Compare it with our policy.
  • Draft the response.
  • Tell me what actually needs my attention.
§ 04 · Optimisefeeds the next Control →

Measure it, improve it, and go again.

Getting something into production isn't the finish line.

We measure the time saved, the cycle time, the errors, the throughput and the effect on your business, then fix the weak points, increase automation where it makes sense, and give AI more responsibility only once it has earned it. Then we find the next bottleneck.

  • Faster cycle times
  • Lower operating effort
  • Better reliability
  • Higher automation rates
  • A clear return on the work
  • Continuous improvement
The questions we keep asking
  • This used to take 14 minutes. Now it takes 90 seconds.
  • Why does this still fail 4% of the time?
  • Does this approval still need to exist?
  • What's the next bottleneck?
§ 03 · In practice

What does that look like in a real business?

Usually it starts with something annoyingly ordinary. Here are six we see often, and what we'd look at first in each.

  • Control → Automate

Your team checks five systems before answering one customer.

Which of the five actually holds the answer, and whether one screen could show your team all of it.

  • Automate → AI

Applications wait because someone has to inspect every single one.

What the inspection actually checks, how often it finds something, and which of those checks a rule or a model could do before a person looks.

  • Automate

Information arrives by email and somebody types it into your CRM.

What arrives, how consistent it is, and what your CRM needs in order to create the record itself.

  • Control → Automate

Reporting takes half a day because the data lives everywhere.

Where the data lives, which exports feed the report, and which of the numbers people actually use.

  • AI → Automate

Your team uses ChatGPT, then copies the answer back into the real workflow by hand.

What they ask it, what they paste back, and where that step belongs inside the workflow.

  • Control → Optimise

Nobody can tell which step is actually slowing the process down.

Timestamps. Where work enters and leaves each step, so the queue becomes visible to everyone.

We're updating this section and will have something exceptional to show you soon.

§ 05 · Getting started

Start with one problem.

You don't need an AI strategy before you talk to us. Bring us something that's expensive, slow, manual, unreliable or just frustrating, and we'll work out what's actually happening, what should change, and the smallest useful thing worth doing next.

  1. 01Show us the problem.

Walk us through the real process, not the version in your procedure document.

  2. 02Work out the right fix.

It might be a process change, an integration, automation, AI, software, or a combination of them. Whatever makes sense for you.

  3. 03Prove it, then expand.

Start small enough to measure. If it works, we make it better and apply the same pattern elsewhere in your business.

Every partnership starts with a focused discovery session, so we can map your work, systems, risks and the outcome you expect before anything gets built.

§ 06 · Safety and control

AI should be useful before it is autonomous.

We don't hand an agent the keys to everything because it looked clever in a demo. Access is limited to what the job requires, material actions can require your approval, important decisions are traceable, and things are reversible wherever possible. As the system proves itself, its responsibility can grow.

Least access
Systems and agents get only the access they actually need.
Human approval
Your people stay in the loop wherever money, customers, compliance or material decisions are involved.
Auditability
You can see what happened, when it happened and why.
Rollback
There is always a way to stop, reverse or escalate when something goes wrong.

Boring controls are a feature.

How we keep control
§ 07 · What we can actually build

Sometimes the answer is AI. Sometimes it isn't.

The solution depends on your problem. Your version might be a rule, an integration, a small piece of software, an AI step, or a mix of them, and we choose the simplest approach that solves it reliably.

Your systems

We work with the systems you already have.

Microsoft 365 · Google Workspace · Xero · MYOB · Salesforce · HubSpot · your CRM · your finance system · internal databases · industry platforms

If it has an API, a webhook, a file export or some other sensible way to connect, there is usually something useful we can do with it.
